WFU Blackboard Course Retention and User List Policy

Course Retention Policy

Course instructors are responsible for backing up Blackboard Courses at the end of each semester using the Archive feature in Blackboard.

The Archive feature copies the course content and student information to a .ZIP archive that is stored on the Course Instructor’s hard drive. The original course remains on the Blackboard server until deleted. Deletion occurs 18 months after the end of the semester the course was used, or when the course instructor requests a course be deleted.

Additionally, course instructors should Export the gradebook to an excel file if they have used the gradebook.

Course Deletion Policy

Academic Courses are deleted 18 months after the end of the semester the course was used (once per year in June.)

Non-Academic Courses that remain in use year-round are handled on a case by case method.

User List Policy

Upon the deletion of all courses for a given semester, all users with the WFU login ID ending in the appropriate year (seniors) who are not enrolled in a Blackboard course are deleted from the system.

Blackboard accounts created in Blackboard by the instructor are deleted 12 months after creation to avoid security risks.

Quotas

To maintain system and server performance, course quotas will be set at 100MB. (Currently 94% of our courses fall into this category.) Course quotas can be extended by request.
